How to run the Openstack-Chef status meeting

  • First off, you need to have a google account, if i'm asking you to run this you've probably joined a hangout before so you should be good on that. But just to be safe click here. If you can log in you're good.

  • Second, we leverage Hangouts On Air for the live streaming. There should be a button in the center of the page that says "Start a Hangout On Air." If I recall correctly, if you have never done one before you may have to validate your account via a text message or a phone call, it only takes a minute.

  • Third, go ahead and click the blue button, it should give you a pop up, fill in the options:

    • Give it a name (Openstack-Chef Status Meeting $MONTH, $DAY, $YEAR)
    • Starts (Later, XX:30 where XX is the time that we start)
    • Audience (Confirm that Public is there, we want people to join right?)
  • Click that share button and the google plus event page should come up. Now is the time I try to send out the email, and it's templatized like so:

Subject: Openstack-CHEF Status Meeting <date>

Hey Everyone!

Pretty straight forward, the youtube stream you can't get till you start, so to start....

  • Click the blue Start button, and it should drop you in the typical hangout screen, but there will be a pop up that says:
Invite guests

I usually click "Skip".

  • You'll notice that it says "OFF AIR" in the top right hand corner, that's expected, you'll also notice a progress circle in the center of the bottom of the screen. Wait for it to complete and you should see a green "Start broadcast" button.

  • Wait for people to join, talk things over get an agenda together, take some notes so you can copy paste out the topics to the mailing list after.

  • When you're ready click that green button, it can take anywhere from 10 seconds to a minute, but it does click over in the top right to say "Live."

  • Have the meeting, take notes and keep the conversation going, after it's done, click the same button to end the broadcast.

  • Compile the notes and send something like the following out to the mailing list:

Hey Everyone, here's the notes from the stream. If you have any comments or idea please don't hesitate to speak up!

- Here are a link[1] notes
- Here is the last note
