Team Structure

  • Over-organization and under-organization both lead to more stress
  • Roles should be relatively clearly defined
    • pictures of people in leadership roles should be available
    • armbands of authority?
  • with regards to recruitment: we should get to know first-years pre-hunt
    • This lets us filter for good page captains and special forces people etc

Roles we need filled

  1. big-picture people: budget, prioritize, etc.
  2. greeters
  3. timed items/crowd-raising
  4. construction
  5. RT coordinator
  6. page people
  7. captains

How those roles are getting filled

  • Secretary role: 3-4 people?
    • would be big-picture people and greeters
    • talk to page captains, greet new people, manage budget, have an idea of how we are doing
  • Time Lord / Hero of Time
    • pretty much the same thing as before
    • we should have a schedule for the day written up somewhere in HQ so passers-by can see
  • Special forces: many people
    • we currently have 1 "X person" for each special force
      • Art: Hannah
      • Construction: John
      • performance: was Michelle, now WHO KNOWS?
    • there are lots of people who have relevant skills, who are not recognized and don't get to use these skills
      • we need bigger special forces teams
      • getting to know new recruits a little better pre-hunt will make better special forces teams
      • page captains being able to work on whatever they want will make bigger special forces teams
      • maybe we can get people to wear something that denotes specific commonly sought-after skills
        • like pins or badges or whatever
          • potentially on sashes?
  • RT coordinator
    • can segue into secretary role after sleeping on Thursday morning
  • Page people
    • need to know status of items on their pages, be the contact people for any items on the pages, and present pages
    • should sign up as a team with buddies for 1-3 pages
      • makes it more fun + less stressful + decreases risk of flaking
    • pair vets with rookies as much as possible
  • Captains
    • same as usual. maybe some fun activity for elections
  • freelancers
    • encourage freelancers to bring their friends
    • have some sort of recognition for highly dedicated freelancer teams

During The Hunt

  • easy items on outside wall
    • Sort of a "Today's Specials"
    • Would contain quick and easy items that haven't been done yet and timed/crowd-raising items
    • Curated by secretaries and heroes of time
  • the whole list on the outside wall
    • pictures of responsible parties underneath pages
    • sign-up sheets underneath pages
  • google doc (nick version)
    • backup: actual google doc
  • get to list release earlier
  • no reading the list
    • replace with a slideshow?
    • sign-up sheet under pages taped up
    • page people should make bills of materials so we can do a supply run early Thursday
    • triage the pages in parallel!
      • get a bunch of vets to walk through pages with page people
    • email list to everyone!
  • have some Fun Spirit Activity before list release
    • face paint, noisemakers, signs, etc.
  • post youtube credentials on the wall of HQ
    • link to cell phone number to prevent fraud
  • title & end slates for videos
  • Item Gong!
    • When someone finishes an item they can bang the gong and we will all cheer
      • if we finish 300 items we will gong an average of about once every 20 minutes
