I am using Google Apps for Business as my email. I only have one email address/account (brilliantfantastic.com) that all others are forwarded to (seedcoworking.com, wrightin.gs, etc). My email clients are set up in such a way that they can reply as the user who the email was originally sent to.
I use AirMail on the Mac.
I use the Gmail on the iPhone and the iPad.
I am using Google Apps for Business as my calendar.
I use Fantastical on the Mac to enter calendar events. I also use the Google web view on occasion.
I use Fantastical on the iPhone as my primary calendar.
I use the Apple Calendar app on the iPad.
For personal task management, I use OmniFocus on the Mac, iPhone, and iPad.
I enter/complete tasks in OmniFocus on the Mac. Each morning I will copy stories from different Pivotol projects that I want to get to that day so that everything is in OmniFocus.
I complete/review tasks (usually errands) on the iPhone but I will occasionally enter quick tasks on the iPhone in the Inbox to deal with later. I have Reminders syncing with OmniFocus on the iPhone so I can enter quick tasks using Siri.
I do task review before bed every Sunday on the iPad. I aggresively remove stuff that I will never get to. I do not set due dates on stuff I don't believe I will get to that week. I try to set due dates on the days for that week for stuff I want to do. If I do not get to it and it is not urgent, I remove the due date so it can be reviewed the next week.
I currently use the Pomodoro technique to time box the work I do during the day. It makes me a lot more productive.
I currenly use Eggscellent to enable Pomodoros on the Mac. Since I do most work on my Mac, I don't need or want an iPhone or iPad version.
I send invoices using Freshbooks. I also use Freshbooks to track how much a client owes, payments, etc.
I track my time using the Freshbooks web application on the Mac. I enter a half hour after each Pomodoro I complete for the given pomodoro session.
I usually never find myself doing work for a customer without WiFi access but in those cases, I enter my time using the Freshbooks iPhone application on the iPhone.
I use the Neat Filing System to track receipts. I have the Neat Receipts Scanner in the office. I try and scan receipts when I get them each day but I also dedicate some time on Sundays to scan any missing receipts. These are scanned and stored in the Neat for Mac application. They are also stored in Neat Cloud.
I rarely have paper receipts because I often use the Neat iPhone application to snap a photo of the receipt and these are uploaded to the Neat Cloud and synced with the Mac.
Contractors that I use send me invoices through Freshbooks and these expenses are tracked within Freshbooks.
I do instant communication with clients and friends using Campfire. I have several rooms set up. One for each client and a few for different groups of friends.
I often put a custom Hubot in each room to make things more enjoyable.
I use Flint as the Campfire client on the Mac and the iPhone.
I use Messages from my Mac, iPhone, and iPad for communication with blue bubble people. I talk to green bubble people as well but they are not as fun.
I pay for Spotify and use it mostly throughout the day on my Mac and iPhone.
I also use iTunes on my Mac and iPhone for music I own.
When I am away from Mac, I listen to Podcasts using Castro on my iPhone.
I use Pivotal Tracker for managing development projects.
I use GitHub for source control.
Sometimes I use Basecamp for managing extra non-code related tasks for teams as well as for team communication.
I use Campfire for communication between team members.
