Minutes of CivComm meeting, 24 April 2019

• Present: Robert Cottrell, Peter Barnes, Val King, Rachel Woollett, Dan Cecil
• Apologies: Pete van Blerk

Actions

• Dan to initiate BPSS for Peter Barnes and Val King, and ask Pete van Blerk if he wants to do it.
• Val to try to book RBL for AGM (26th June)
• Val to ask Suzanne Brown for venue contacts for summer party
• Dan to get team together for summer party
• Peter Barnes will follow up with Waitrose for fundraising
• Peter Barnes will ask Pete van Blerk to investigate cadets doing car washing at fire station
• Dan to resurrect spending wishlist

Matters Arising from Minutes

• Suzanne Brown from Town Council is willing to join CivCom
• Enrolment and Promotion evening will be 22nd or 24th May. Peter Barnes will talk about CivCom
• DBS has been started for Peter Barnes and Val King. The new BPSS (baseline military check process) will be needed for Bader access or greater involvement with cadets. It's not needed for ordinary CivCom membership without access to Bader
• Subs - good progress on arrears. Robert to update spreadsheet as necessary and pass to Dan and Peter
• Camp booking making good progress. If we can't fill all 20 places for the squadron, places will be offered to other squadrons at £200 if necessary
• AGM is on 26th June. Sophie Bray has agreed to attend and give a talk. Val King will try to book Royal British Legion for the evening. The possibility of a BBQ was raised

Summer Event

• Dan would like to hold summer party for 100-120 persons.
• Val will ask Suzanne Brown for venue contacts
• Dan will try to get a team together to organise. Maybe Mike or Tim from staff team to lead
• Budget cost around £25-£30 per person including light food

Fundraising

• Peter Barnes will follow up with Waitrose
• Peter Barnes will ask Pete van Blerk to investigate cadets doing car washing at fire station
• Joint backpacking with Wycombe squadron could be considered for Asda / Waitrose at Handy Cross
• BBQ at Marlow late night shopping could be considered

Spending

• Dan will resurrect spending wishlist. It would be good to present spending ideas at AGM

Date of next meeting

• 15th May (soon to enable planning for AGM and summer party)
• Robert sent apologies in advance. His next (final) meeting will be AGM

  • Pete ask CI Adamson whether lodge is available.
• Val to ask Suzanne Brown for venue contacts for summer party
  • Val has contacts from RBL
  • Gp Capt Mike Basnett & Graham Haywood suggested Harleyford Golf Club and Val made contact:
  • Sat July 6th is available; deposit £250.
  • Hire usually £300 but 1/2 price to us.
  • Finger buffet £11pp
  • est 100 people, £1250.
  • Dan to increase budget on spending plan (slightly)

This meeting

• Peter has been paying bills, receiving cheques and DDs and settled into role.

Matters Arising from Minutes

• We agreed to meet every 2 months, 1st Wednesday.

  • next mtg is AGM in 6 weeks
  • then 1st week of Sep.

• RBL is booked every Weds and Friday so we can't do that for AGM

  • Can we do AGM on another evening?
  • Tues 25th June is an option.
