Lessons learnt from running a conference

Video Filming

  • what & how do you want things filmed
  • 1 camera per room, 2?
  • roaming camera to capture atmosphere
  • 1 minute feedback/interviews
  • Sound
  • full control of venue sound recording
  • independant sound recording setup?
  • mic on each speaker?
  • camera mic only backup?
  • record before beginning of session

Video Production

  • ensure a proper brief has been assembled for video editors before editing
  • design assets, including fonts
  • naming conventions: titles
  • descriptions of content and format
  • provide design/template of thumbnail/bumper frames
  • define which Creative Commons license
  • Setup paid vimeo account
  • provide access to video team to upload
  • add Credits (video crew, and speaker?)
  • Create and customize event channel

Speakers & Sessions

  • Get info from speakers
  • Portrait photo
  • bio
  • links: twitter/web/etc.
  • session intro
  • slides (if available)
  • Prior to Session
  • Check water is available for speaker
  • Force people to use all available space
  • Ensure speaker has everything to setup
  • Get slides from speaker (share/tweet slides)
  • After session
  • thank speaker
  • give next session details & break
  • Placeholder slide w/ link to session feedback
  • ask speaker how it went
  • get feedback on setup and environment (lighting, sound etc)
  • consider asking speaker to mention next session info

Session setup/progress

  • Slide with info about next session(s)
  • Speaker to side of screen, NOT in front
  • Introduce speaker
  • Q&A, ensure speaker (or team) repeat question for everyone (& camera) to hear

Website

  • Write content and updates before the event
  • Automate content to display at set times with defined rules
  • Display the days Schedule on homepage
  • Link to current and next session(s) on homepage
  • Media assets page with logos, badges, brand guidelines

Social Media

  • Automate posts with tool like buffer
  • 5 minutes before the end of a session, tweet info/link to next session
  • half-way through session tweet link to commit feedback on session
  • repeat informative tweets, meetings/drinks details etc

Organisation

Internet

  • Have ethernet connection for speakers with prioritized bandwidth allocated

Workshops

  • Ensure delegates download all pre-requisite packages prior to attending
  • Local proxy for resources that require downloading
  • USB sticks (sponsored/customised?) with pre-requisite resources/packages
  • Additional facilitator to support main trainer
  • Slides/Materials available prior/beginning of workshop
